A customer and hosting CRM that pulls together our clients, their websites, the servers they run on and their billing, and flags problems before clients notice them.
The problem
We look after a large number of websites across several servers. The information about them lived in different places: the hosting control panels, our accounting software, and our own notes.
Answering a simple question like "which websites does this client have, where are they hosted, and are they billed for them?" meant checking several systems. Off-the-shelf CRMs are built for sales pipelines, not for the link between a client, their websites and the servers behind them.
What we built
A bespoke CRM that connects customers to their websites, the servers those websites run on, and their account in FreeAgent, our accounting software.
- Automatic syncing from our hosting control panels and FreeAgent, so the data stays up to date without manual entry
- Live checks on every website's DNS, SSL certificate, response and platform
- Reports that flag problems, such as out-of-date PHP, expiring SSL certificates, or websites not linked to a customer
- Billing in context: what each customer pays, how often, and what is outstanding, matched to their websites
- A full audit log of every change, with one-click undo
- Role-based access, so each team member sees and edits only what they should
- Task reminders emailed to the team each morning
- A secure API, including an AI assistant connection, so we can ask questions of the data in plain English
The result
We now have one place to see everything about a client. Problems such as an expiring certificate or an outdated version of PHP are flagged automatically, so we can fix them before a client notices.
Next, we are adding customer segments and targeted email, so we can contact exactly the right clients about the right things.
